Project Management & Finance Officer

The Project Management & Finance Officer will be based at our London office and will assist with project management systems and financial administration. They will report to our Office Manager, Finance Manager and Business Development Manager.

Your role

Project Management

• Assist with the implementation of the TIN project management system. Provide support and information to colleagues as required

• Assist project managers in updating the status of projects on TIN to ensure effective invoicing

• Update the status of active projects as required

• Follow up successful fee quotes: liaise with clients to ensure that we have the correct invoicing details, update TIN when required

• Assist project managers with the collation of timesheets and invoicing with larger, long running jobs, or when required

• Sending out customer feedback surveys and analysing the responses

• Support project managers as required

Finance

• Assist Finance Manager with financial management, principally:

• Email invoices to clients and Credit control

• Process employee expenses twice a month

• Assist with the updating of sales and purchase ledgers, filing and updating the project management system accordingly

• Assist with the management of the Green Roof Consultancy accounts

• Monitor expenditure on major projects

• Approve subcontractor invoices for payment

• Approve staff and subcontractor expenses for work on major projects, overseeing and double checking the monthly expenses spreadsheet.

• Approve monthly project equipment spreadsheet

General

• Provide administrative support to the Operations team, and other Ecology Consultancy staff if required

• Contribute to the efficiency of The Ecology Consultancy by working collaboratively as a member of the team

• Undertake other duties as may reasonably be required

Essential skills and aptitudes

• Graduate with an interest in ecology, environmental science or similar;

• Good working knowledge of MS Office, particularly Excel for data interpretation and analysis;

• High attention to detail;

• Ability to work under pressure and prioritise work;

• Confident telephone manner;

• Highly organised with strong communication skills, both written and verbal;

• Quick to learn, thorough and friendly with the ability to prioritise and work under pressure.

Desirable knowledge

• Good working knowledge of MS Access

• Interest in and experience of project management systems

• Knowledge of accounting software, e.g. Sage

• Starting salary £21,240.00 pa based on a 40 hour week
